From May 8 to 12, 2023, WIPO, together with the Intellectual Property Office of Viet Nam (IP Viet Nam), co-organized a Sharing-Best-Practices (SBP) Meeting on smarter IP office business services in Hanoi, Viet Nam, with support from Funds-In-Trust Japan Industrial Property Global (FIT/Japan IP Global). The Meeting welcomed 11 officials, who are in charge of IP office business operation and information technology from IP offices in Cambodia, Lao People's Democratic Republic (PDR), the Philippines, and Thailand, along with officials from IP Viet Nam.
The meeting is a continuation of the first SBP meeting, which was held in Manila, the Phillippines, in December, 2022. The objectives of the meeting included (i) to share experiences and exchange policy priorities and practices for introduction of digital business services through showcase of the use of WIPO business solutions by the Intellectual Property Office of the Philippines (IPOPHL); (ii) to discuss the ways and means of leveraging smarter technical tools for the improvement of services and performance of IP office; (iii) to exchange information on performance of IP office business practices in different IP Offices to identify ways in which IP offices can efficiently transform and manage the change for digital operations and services; and (iv) to provide the practical information on the technical specifics for the deployment of WIPO solutions, customization and administration of WIPO IPAS, WIPO Publish and WIPO File for online services.
The meeting welcomed 11 officials in person, who are in charge of IP office business operation and information technology from IP offices in Cambodia, Lao PDR, the Philippines, and Thailand, along with officials from IP Viet Nam.
In the meeting, the officials of IP Viet Nam delivered presentations and conducted demonstrations to showcase their operational procedures and highlighted the specific challenges encountered across various business units while officials from IPOPHL shared their insights into the office's digital transformation journey and discussed the enhancements made to their business processes and the successful adoption of a paperless approach through the utilization of IT systems. Furthermore, officials from other IP offices also made presentatons, including officials from Cambodia, who presented their current business processes, focusing on the effective utilization of WIPO-developed systems and highlighted the successful implementation of WIPO IPAS for sending automated Madrid notifications to WIPO. In addition, speakers from WIPO delivered presentations on the IPAS Cloud version and engaged in discussions regarding upgrade approaches as well as necessary activities required for the successful implementation of the ASEAN IP Register platform while a speaker from the Japan Patetn Office made a presentation on their activities on IT business services .
In the wrap-up session, WIPO officials, in collaboration with IPOPHL officials, provided their observations and offered recommendations to address challenges in the areas of IT, digitization, and business processes at participating IP offices.
Overall, the meeting fostered interactive discussions among the participants, regarding the challenges encountered by the IP offices, by successfully serving as a platform for knowledge sharing.
