A key component of the Madrid System’s digital transformation – aiming to provide all our customers with premium services – is to streamline and enhance the reliability and efficiency of our communications by using email notifications.

If you have not already done so we need you (holders and/or representatives of active international trademark registrations) to provide us with an email address as quickly as possible. Note: We do not share – or publish – these details.

Want to check email status of your international trademark registration(s)?

  • Go to “Monitor your registration” under eMadrid.
  • Select “Advanced search” and enter holder (or representative) name.
  • Click on “Email address status” in the left-hand list of filters.
  • Filter the results by heading (example ‘Holder email address missing’) to get a list of all international trademark registrations for which you have not provided holder (or representative) email address.

How to send us your email address

You can submit – or update – your email address using "Change holder details" or "Manage representative" under eMadrid.

Tips

  1. For best user experience, and to help you manage your portfolio centrally through eMadrid, we recommend that – for the time being – you use the same email address for:

    • the WIPO Account you use to perform eMadrid transactions; and
    • all your international trademark registrations.
  2. Keep your email address up to date.
  3. Provide a different email address for the holder and any representative. If they are the same, we will issue an irregularity letter; this may delay processing of your requests.

Security issues!

Your company’s email client may use certain security settings (e.g., spam filters) that block the alerts and notifications that we send you. You should whitelist any address that includes @wipo.int, as well as domain rpost.biz.

Types of electronic notifications

We will send you electronic notifications on:

  • Irregularities with an international trademark application.
  • Provisional refusals.
  • Statements on interim and final status of a mark in designated Madrid System Members.
  • Invalidations in designated Madrid System Members.
  • Recording a change or cancellation; and any communications on irregularities.
  • Recording a license; and any communications on irregularities.
  • Second part of the individual fee (Brazil and Cuba only).
  • Signature requests for online services (when authorization (signature) is required).
